TL;DR

  • The principle: a booth becomes brand exposure when your brand is on every output (print, screen, GIF, sharing email) and guests have a reason to share.
  • Prints travel home: a branded strip or 4x6 print ends up on fridges and desks. Design it like a small ad, not a frame.
  • Digital sharing travels further: guests text or email photos and GIFs from the touchscreen, and each one carries your logo.
  • Leads need consent: email and phone capture runs on the touchscreen with consent wording your team approves, and opted-in contacts arrive as a CSV within 24 hours.
  • Decide what to measure first: agree your goals before the event so the data you get afterwards answers the right question.

A brand activation photo booth turns event photos into brand exposure in two ways: your brand appears on every print, GIF and shared image, and the guest who takes the photo becomes the person who distributes it. The ideas below cover how to get the most out of each output, and how to collect leads from it properly.

Everything here is something we can deliver at a Ghost Booth Events activation. We’ve left out claims about campaign results, because those depend on your audience, your offer and your follow-up, not on the booth alone.

Compare the outputs

A branded booth produces several things at once. Each reaches a different audience, so it helps to know what you’re briefing for.

Output Where your brand appears Who sees it Best for What to brief us
Branded prints Print template: logo, campaign line, hashtag, partner logos The guest, then anyone who sees it at home or work Activations where a physical takeaway matters Logo files, brand guide, the one line you want remembered
Digital sharing Screen overlays and the branded sharing email The guest’s own contacts and feeds Reach beyond the room Email subject line, sign-off, hashtag
Animated GIFs Your logo on every GIF Social feeds and group chats Fun, shareable moments Logo placement and colours
Same-day content Edited stills and a short reel from a content creator Your own channels Posting while the event is still news Shot list and delivery contacts
Lead capture Consent screen in your wording Your marketing team Building an opted-in contact list Fields, consent wording, CRM format
Post-event handover CSV of leads, online gallery, analytics report Your marketing and sales teams Reporting and follow-up Who receives what, and when

Most activations use three or four of these together. The rest of this post goes through ideas for each.

Branded print ideas

1. Design the print like an ad

Guests keep prints, so treat the print as the most durable piece of advertising at your activation. Lead with the campaign name, keep the logo clear, and add a hashtag or handle if you want people to find you later. Every corporate booking includes a custom print template, designed and proofed before the day.

2. Co-brand with a partner

If a sponsor or partner is involved, put both logos on the print. The prints in the photo at the top of this post were for Left Bank Melbourne’s Melbourne Cup Day, carrying both the venue’s logo and G.H. Mumm’s.

Left Bank’s Oaks Day strips used the same two-logo footer as Cup Day, with a different event line and frame.

3. Give the activation a name

A named moment (“Shoot & Score”, “Giddy Up!”) reads better on a print than a logo alone, and it gives guests something to caption their post with.

4. Use strips for throughput

At a retail or shopping-centre activation, the queue is the limit. Strip prints are faster for groups, and our face-detection printing gives everyone in the shot their own copy without reprints.

Backdrop and booth ideas

5. Print a branded backdrop or step-and-repeat

A printed backdrop puts your brand behind every face in every shot, including the ones guests take on their own phones. We size backdrops to your space and print them at our Melbourne studio.

6. Put the product in the frame

For a product launch, build the product into the backdrop or the print design so it appears in every photo. Product launch booths can also be paired with same-day content for press and social.

7. Brand the booth itself

Your logos can go on the booth, not just the print, so the setup looks like part of your activation from across the room.

8. Rotate designs on multi-day activations

For multi-day events, the print can change each day or carry rotating sponsor logos. At La Trobe University’s O-Week, we ran a multi-day activation across two campuses with rotating backdrops aligned to each faculty.

Digital sharing and GIF ideas

Animated GIFs get shared more casually than stills, often straight into group chats. Every GIF from our booth can carry your logo, so the brand goes wherever the GIF goes.

10. Write the sharing email

The branded sharing email is the message guests receive with their photo. Treat it like campaign copy: a clear subject line, your sign-off, and a reason to share. It’s included in our Brand Day package.

11. Go digital-only for high footfall

If prints would slow the queue or the audience is mostly on phones, a digital-only setup sends photos straight to guests. La Trobe’s O-Week activation was digital-only, with photos sent direct to students for instant sharing.

12. Add a content creator

Guests share their own photos. A content creator captures the activation for your channels: 15 to 30 edited stills and a short reel before the event ends, with the full gallery within 24 hours.

Lead capture, done properly

Lead capture is where a booth stops being a giveaway and starts being a lead source. Guests enter their email or phone number on the touchscreen to receive their photo, with consent wording you approve.

It also needs care. Under Australia’s Spam Act, you need consent before sending marketing messages. The ACMA describes express consent as best practice, says it can be given by filling in a form or ticking a box, and advises keeping a record of who gave consent, when and how. It also notes that it’s up to the sender to prove they have consent.

Practical steps we recommend:

  • Separate the photo from the marketing. Make it clear on screen that entering an email gets the photo, and say plainly whether the guest is also agreeing to hear from you.
  • Write consent wording your legal team signs off. We build it into the timeline: wording is approved two weeks out, alongside the print and screen proofs.
  • Ask only for what you’ll use. Every extra field adds time at the booth.
  • Keep the record. Store the CSV with the event name and date, so you can show when and how each contact opted in.
  • Follow up while it’s fresh. Opted-in contacts are exported as a CSV within 24 hours, formatted for Mailchimp, HubSpot or Salesforce.

This is general information, not legal advice. Check your consent wording with your own marketing or legal team.

What you get after the event

Deliverable When Who it’s for
CSV of opted-in leads Same day or within 24 hours (daily on multi-day events) Marketing and sales
Online gallery link Within 24 hours Social, comms, partners
Same-day content (if booked) Before the event ends Social team
Post-event analytics report After the event (Brand Day package) Marketing reporting

Before the event, decide what success looks like. A simple way to judge lead capture is cost per opted-in contact: the total activation cost divided by the number of contacts in the CSV. Track what those contacts do afterwards in your own CRM, because that’s where the real result shows up.

Logistics checklist

  • 4 to 8 weeks out: brief, footprint and lead-capture fields agreed; backdrop artwork supplied
  • 2 weeks out: print and screen designs proofed; consent wording signed off
  • Site paperwork: public liability certificate of currency, tagged-and-tested equipment, site inductions for shopping centres and stadiums
  • Space and power: about 2 m by 2 m for the open-air booth and backdrop, plus a 10-amp power point
  • On the day: attendant for queue control; for festivals and stadiums, a covered, level position with power access

Brand activation photo booth questions

How does a photo booth create brand exposure?

Your brand goes on every output: the print template, the screen overlays, the animated GIFs and the sharing email. Guests then take the prints home and send the digital files to their own contacts, so your logo travels well beyond the event.

How does lead capture work on a photo booth?

Guests enter their email or phone number on the touchscreen to receive their photo, with consent wording you approve. Opted-in contacts are exported as a CSV within 24 hours, formatted for Mailchimp, HubSpot or Salesforce.

Do we need consent to email people who used the booth?

To send marketing messages, yes. The ACMA says you need consent under the Spam Act, recommends express consent as best practice and advises keeping a record of who consented, when and how. Have your marketing or legal team sign off the wording before the event.

Can you match our brand guidelines?

Yes. Send your brand guide and logo files and we design the print, screen overlays and sharing emails to match, then send a proof for sign-off before the event.

How much does a brand activation photo booth cost?

Brand activations are quoted per scope, because duration, number of days, backdrop size and content creators all change the price. Ghost Booth Events returns a fixed-price proposal within 24 hours of receiving your brief.
