TL;DR

  • Plan by phase: an awards night has three moods (arrivals, the ceremony, the after-party), and each needs different entertainment.
  • Arrivals: a red carpet or step-and-repeat with a photo booth gives guests something to do while the room fills, and gives sponsors their logo in every shot.
  • The ceremony: the best entertainment is a tight run sheet, a good MC and walk-up music. Pause everything else.
  • After the last award: reopen the booth for winner photos with the trophy, then hand over to the DJ or band.
  • Same-night content: a content creator can deliver 15 to 30 edited stills and a short reel before the event ends, ready for the next morning's posts.

The best corporate awards night entertainment works around the ceremony, not against it. Pick one thing for arrivals, keep the ceremony itself sharp, and save the loudest entertainment for after the final award.

Most awards nights are shot for the next morning: the LinkedIn post, the internal wrap-up, the sponsor report. So the ideas below are sorted by when they happen in the night, and each one notes what it gives you to share afterwards.

Plan the night in three phases

Before choosing acts, map the night. Guests behave very differently at 6.30pm with a drink in hand than they do at 9.45pm after the last category is announced.

Phase Guest mood What works What to avoid
Arrivals and pre-dinner Mingling, a bit self-conscious in formal wear Red carpet, photo booth, roving musician, signature drinks Anything loud enough to stop conversation
Ceremony and dinner Seated, attention on stage MC, nominee videos, walk-up music, short speeches A booth or act competing with the stage
After the final award Relieved, celebratory, ready to dance Winner photos, DJ or band, dessert station A long gap with nothing happening

Choose one or two ideas per phase. More than that and the night feels busy rather than special.

Arrivals: give guests something to do

The first hour sets the tone. Guests arrive in small groups, often before their table-mates, and want a reason to move around the room.

1. A red carpet and step-and-repeat

A printed backdrop with the event name and sponsor logos, a strip of red carpet and good lighting turns arrivals into a moment. It also gives every sponsor their logo in the background of photos guests will share.

2. A photo booth on the red carpet

Put the booth at the end of the carpet and guests get a polished, lit photo of themselves in their best outfit, printed in seconds. For awards nights we use a glam or editorial print design carrying the event and sponsor branding, studio lighting, and an attendant in formal dress for the full hire.

3. Props that match the night

Generic props look out of place next to evening gowns. Custom props tied to the event (speech bubbles with club in-jokes, the award name, a mock trophy) suit the room better. For the Western Bulldogs we made custom speech-bubble props for the red carpet. See our photo booth props guide for more.

4. A roving musician or string trio

Background music that moves through the room fills the gap between arrivals and seating without anyone having to perform. Ask for a set list that ends before guests are called to their tables.

5. A signature drink for each category

Name two or three cocktails or mocktails after award categories. It’s a cheap, easy talking point and photographs well on the bar.

6. A nominee wall

A printed board with every nominee’s name and photo gives guests a reason to stop, find colleagues and start conversations. Our signage team can produce it to match your backdrop and print design.

The ceremony: let the stage do the work

During the awards, entertainment is mostly about pace. A tight ceremony is the best entertainment you can buy.

7. Book a professional MC

An MC who has hosted corporate awards before keeps the night moving, covers technical gaps and can be funny without embarrassing anyone. Brief them on names that are hard to pronounce.

8. Short nominee videos

A 20 to 30 second clip for each nominee (a photo, a line from their manager, a quick quote) gives the room something to watch while the winner walks up. Keep every clip the same length so the run sheet holds.

9. Walk-up music for winners

Ask each nominee for a walk-up song in advance, or pick one per category. It costs almost nothing and turns a polite clap into a cheer.

10. Split the awards around dinner

Two shorter award blocks (one after entrée, one after mains) keep energy up better than one long block. Pause the photo booth during both blocks so the attendant isn’t competing with the stage, and have the MC announce when it reopens.

11. A message line for winners

An audio guestbook is a vintage phone that records voice messages. Set it up near the bar with a sign asking guests to leave a congratulations message for the winners, and pass the recordings to your comms team afterwards.

After the last award: celebrate

Once the final category is announced, the room relaxes. This is the busiest window for the booth and the best time for the loudest entertainment.

12. Winner photos with the trophy

Reopen the booth straight after the ceremony and invite winners over with their trophy. These are the photos that end up in the internal newsletter and on the company’s LinkedIn page.

13. A DJ or band who can read a corporate room

A band for the first set and a DJ after works well for mixed ages. Give them the run sheet so they know exactly when the ceremony ends.

14. A dessert or coffee station

A late espresso cart or dessert bar gives non-dancers something to do and keeps people in the room longer.

15. Play the same-night reel before close

If you book a content creator alongside the booth, you receive 15 to 30 edited stills and a short reel before the event ends. Ask the AV team to play the reel on the venue screens near the end of the night. Guests love seeing themselves, and the reel is ready to post the next morning.

16. Strip prints for speed at big galas

At large galas, strips are quicker than 4x6 prints for groups between courses. Our booth uses face detection to print one copy per person in the shot, so a table of six all walk away with their own.

Making sponsors happy

Most awards nights have category sponsors, and sponsors want proof they were there. A few easy ways to give it to them:

  • Sponsor logos on the backdrop and the print. Every photo then carries their brand, on paper and on screen.
  • Category sponsor in the winner shot. Have the sponsor present the award, then walk with the winner to the booth.
  • A gallery link for the sponsor report. The full online gallery is delivered within 24 hours, so your partnerships team can pull images for sponsor reporting that week.

Awards night entertainment questions

What entertainment works best at a corporate awards night?

Something for each phase of the night: a red carpet or photo booth during arrivals, a professional MC with nominee videos and walk-up music during the ceremony, and a DJ or band after the final award. Pause anything that competes with the stage while awards are being presented.

Should the photo booth run during the awards ceremony?

No. We plan a paused window during speeches and award blocks, then reopen the booth straight after the final award for winner photos with the trophy. Put the pause on the run sheet so the MC can announce when it reopens.

Can sponsor logos go on the photo booth prints?

Yes. Prints and screen overlays can carry the event branding plus sponsor logos, and a printed step-and-repeat backdrop can repeat them behind every guest. Designs are proofed before the event.

Can we get photos from the awards night the same evening?

Yes. Add a Ghost Booth Events content creator and you receive 15 to 30 edited stills and a short reel before the event ends. The full booth gallery follows within 24 hours.

How far ahead should we book awards night entertainment in Melbourne?

Awards season peaks in October and November, so enquire as soon as your venue and date are confirmed. Allow at least four to six weeks before the event to agree backdrop artwork, print design and the content brief.
